New Castle, PA – May 30, 2008The Los Alamos County Clerk’s office, using its RecordFusion document management and eRecording solution, has successfully performed the first ever electronic recording of a document in the State of New Mexico.

“We were thrilled to be part of this historic event for New Mexico”, said Sheryl Nichols, Chief Deputy Clerk of Los Alamos County. “Everyone gathered around the computer to watch – it felt like we were watching the first person walk on the moon,” she stated.

The Los Alamos County Clerk’s Office has created its pilot eRecording program with Los Alamos National Bank. The County Clerk's eRecording solution, which allows users to record documents remotely over the Internet, is an extension to the office’s CountyFusion Records Management system, offered by RecordFusion. The first document processed was a release of mortgage sent from the bank to the County Clerk’s office.

RecordFusion’s eRecording system streamlines the recording process for both Los Alamos County and for submitters. The system allows the County to quickly process documents and provide stamped copies of the officially recorded documents to submitters within hours, if not minutes.

“We built our eRecording system from the ground up to provide a powerful, easy-to-use, seamless integration into our existing records management technology,” said Bill Welge, President of RecordFusion. “Our eRecording system adds to the powerful arsenal of tools that RecordFusion can provide to our clients.”

“eRecording benefits everyone,” said Nichols. “I want to provide options for Los Alamos County submitters and service them as efficiently as possible. It is exciting to see how quickly we can return recorded documents now.”

The New Mexico Commission of Public Records Department of Information Technology is promulgating the eRecording rules for the rest of New Mexico’s counties. They are holding a hearing on the rules on June 3rd, and the new rules will go into effect in July. In the meantime, Los Alamos is proud to be the pioneer.

“Not only is Los Alamos County the first to eRecord a document in the state,” explains Nichols, “but we are also excited to have been the first county in New Mexico to implement the RecordFusion solution. The program is efficient and friendly – very simple to use, and fast too.”

The Los Alamos County Clerk’s Office is responsible for recording and filing public documents issuing marriage licenses, registering voters, administering elections, maintaining official documents for the County Council, such as Ordinances, Resolutions, and Council Minutes, and serves as Clerk to the Probate Court. The Los Alamos County Clerk is Mary Pat Kraemer (D); her term ends December 31, 2008.
